Vocal Development Program Studio Policy

By registering for the Batschi Vocals & Performing Arts Vocal Development Policy, you agree to the following terms and conditions.

Attendance Policy

Enrollment Commitment & Withdrawal Policy

  • Semester Commitment
Enrollment in the Vocal Development Program requires a full semester commitment. Semesters run January–April, May–August, and September–December.

  • Tuition & Lesson Reservation
Monthly tuition secures a dedicated weekly lesson time with your instructor. This time is reserved exclusively for your student and cannot be reassigned on short notice.

  • Early Withdrawal
If a student withdraws before the end of the semester, a $100 withdrawal fee will be charged to the card on file. Any unused tuition or missed lessons are forfeited upon cancellation.

  • Pause Option (Extenuating Circumstances)
In the case of extenuating circumstances, enrollment may be placed on hold for up to 60 days. Any unused lessons will be preserved and may be used upon return.

  • Inactive Accounts
If no return date is communicated within 60 days of a hold, or no extension is requested, the account will be considered canceled and the $100 withdrawal fee will be automatically processed.

  • No Refunds
Batschi Vocals does not offer refunds for unused lessons or early withdrawal.

    Family Discount

  • Families with two or more students enrolled at Batschi Vocals & Performing Arts at the same time are eligible for a 10% family discount. The highest-priced enrollment is charged at the regular tuition rate, and each additional qualifying student receives 10% off their tuition.

  • To qualify, students must be members of the same household and be billed under the same family account. Adult family members who maintain a separate account and are responsible for their own tuition are considered separate students and do not qualify for the family discount.

  • The family discount applies to tuition only and does not apply to sign-up fees, materials fees, trial lessons, workshops, coaching appointments, or other one-time services.

Attendance & Rescheduling

  • Attendance Expectation
Consistent attendance is expected for all enrolled students to support steady progress and skill development.

  • Reserved Lesson Slot
Enrollment secures a reserved lesson slot within your instructor’s schedule. While this slot provides priority access, students may reschedule within the guidelines below.

  • If a Student Cannot Attend
If a student is unable to attend a scheduled lesson, they may choose one of the following:

    • Attend virtually via Singing Carrots (e.g., in cases of illness)

    • Reschedule the lesson at least 24 hours in advance through the student portal

  • Late Cancellations & Missed Lessons
Lessons canceled with less than 24 hours’ notice, or missed without communication, are forfeited and are not eligible for rescheduling or credit.

  • Instructor Cancellations
If an instructor must cancel a lesson included in the student’s program, a make-up lesson will be offered or you will receive a credit on your client portal.

Late Arrival

  • Lessons begin and end at the scheduled times. Missed time due to lateness cannot be made up.

  • If a student is going to be late to their lesson, they should text their instructor when possible.

  • If a student does not communicate with their instructor, they will have a 10-minute grace period from the lesson start time, after which that lesson will be forfeited.

  • It is not the instructor's responsibility to text students about tardiness or no-shows.

Cancellation Policy

Student-Initiated Cancellations

We understand that schedules change! Students may manage upcoming lessons directly through the Student Portal.

  • For lessons changed at least 24 hours in advance, students have two options:

    • Reschedule: Move the existing lesson directly to another available time.

    • Cancel for Makeup Credit: Cancel the lesson and receive a makeup credit that can be used to book an eligible replacement lesson through the Student Portal.

  • Makeup credits must be used to book a replacement lesson within 30 days of the original cancellation. The replacement lesson itself does not need to occur within those 30 days and may be scheduled for any available time during the current semester.

  • Changes made with less than 24 hours’ notice are considered late cancellations. The lesson will be forfeited and no makeup credit or refund will be provided.

  • Makeup lessons are subject to instructor availability. Makeup credits have no cash value, are non-transferable, and cannot be applied toward tuition.

  • If Batschi Vocals & Performing Arts cancels a lesson, the student will be given the opportunity to reschedule or receive an appropriate lesson credit.

Staff-Initiated Cancellations

If a staff member must cancel a lesson, we will reschedule with you or issue a service credit.

How to Use Credits

  • Makeup credits will appear on your client dashboard. Select “Use make-up credits” to book a new lesson time.

  • Makeup credits must be used to book a replacement lesson within 30 days of the original cancellation. The replacement lesson itself may take place after the 30-day period, as long as it is scheduled within the current semester.

  • Students are responsible for keeping track of their 30-day booking window. The expiration date may not be displayed in the Student Portal, and no expiration reminders or notifications will be sent. Please make note of the date your original lesson was cancelled and plan accordingly.

  • All makeup credits expire on the last day of the semester, even if the 30-day booking period has not yet passed.

  • Once the 30-day booking window or semester deadline has passed, the makeup credit is forfeited and cannot be reinstated or extended.

Additional Notes

  • If you cancel a lesson with less than 24 hours’ notice or you do not attend your scheduled lesson, no makeup credit will be issued and the lesson will be forfeited.

  • If you do not see any available reschedule times that work for you, you are welcome to contact our staff. While alternative times are not guaranteed, we will do our best to assist when possible.

VDP Flex Lesson Policy

This policy applies to weekly students only. *Biweekly students, please see below.

Each semester, your schedule will show two additional lessons that are not covered in your monthly tuition. One of these lessons will be used for staff absence and will be referred to as the “Staff VDP Flex Lesson” (your instructor will let you know when they are using it instead of issuing a credit). That will leave you with one extra scheduled lesson, which will be referred to as the “Student VDP Flex Lesson.”

This Student VDP Flex Lesson is built in for three reasons:

  1. You can use it in case of a last-minute cancellation during the first 3 months of the semester.

  2. You can use it for a regular cancellation that you are unable or don't want to reschedule. For example:

    • If you forget to use your makeup credit within 30 days and it expires

    • If you want to take a week off for vacation (e.g., spring break)—in this case, ask your instructor to remove the makeup credit from your account

  3. You can use it to have an extra lesson to prepare for the recital.

If you attend every scheduled lesson or use every makeup credit you acquire from cancellations, the cost of the flex lesson will be added to your final bill of the semester. Because payment is due on the 1st of each month, cancellations made during the final month of the semester are not eligible for this flex benefit. If you never miss a week but don't want to pay for the VDP Flex lesson, you must cancel a lesson before the final bill is due (April 1, August 1, or December 1) and inform your instructor that you do not need a makeup credit.

*If you are a biweekly student, this policy does not apply to you. You have 8 scheduled lessons, and your tuition covers 8 lessons. Any lesson that is cancelled must be rescheduled with a credit, or you forfeit payment for that lesson.

Tuition & Payment

Semester tuition covers 14 weekly private lessons (8 lessons for biweekly students), the Singers' Circle, and the semester recital.

There are two payment plan options:

  • Monthly payment: full tuition divided evenly over four months

  • Full semester tuition: one-time payment at the beginning of the semester

Monthly payment is the default plan. If you wish to pay for the full semester up front, please contact your instructor before the first bill of the semester is due (January 1, May 1, or September 1).

Additional Tuition Information:

  • Payment and invoicing are processed through the studio’s designated platform.

  • Payment is due as outlined by the platform and is non-refundable once the semester begins.

  • Tuition payments not received within 8 days of the due date will incur a $30 late fee.

  • Failure to pay tuition on time may result in suspension of lessons until the balance is resolved.

  • Clients who opt out of auto-pay are still responsible for submitting payment on time each month. If a balance remains unpaid after notice has been provided, the studio reserves the right to charge the outstanding balance and any applicable late fees to the payment method on file.

Additional Policies

Recording & Confidentiality

  • Students are encouraged to record their lessons for personal review and practice.

  • Recordings are for personal educational use only and may not be shared, distributed, or posted publicly without the instructor’s express written consent.

  • The instructor agrees to keep all personal student information and recordings confidential and used solely for educational purposes.

  • We reserve the right to use artificial intelligence (AI)-assisted note-taking software during lessons for the purpose of supporting accurate record-keeping and teacher reference. Any notes generated through AI software will be treated as confidential and used solely for internal educational and administrative purposes. These notes will be treated as confidential and Batschi Vocals and staff will not share them with third parties unless required by law or with consent.

Music Materials

  • Any music (including sheet music, lyric sheets, and other music materials) provided to students by Batschi Vocal Studio are the property of the studio and are provided for use during the student's enrollment. All materials must be kept in good condition and returned to Batschi Vocal Studio at the end of the term or upon request.

Virtual Lessons

  • All online lessons are conducted via Singing Carrots.

  • Students must create a Singing Carrots account before their lesson begins. Then they will click "Join Online" in the schedule list on their client portal.

  • For the best audio quality, students are strongly encouraged to use a computer rather than a phone or tablet.

  • A stable internet connection, functioning microphone, and quiet environment are required for optimal results.

Parental Consent (for Minors)

  • Students under the age of 18 must have a parent or guardian’s consent to participate in lessons.

  • To maintain a focused learning environment, parents or guardians are not permitted in the studio during weekly lessons unless specifically invited by the instructor.

Privacy & Communication

  • Personal information collected for booking, scheduling, or payment is used solely for lesson-related and administration purposes.

  • Your information will never be shared, sold, or distributed to any third parties.

  • Batschi Vocal Studio may send occasional communications regarding upcoming classes, workshops, and events.

  • Payment processing is handled through secure third-party systems compliant with industry standards.

  • Lessons may be audio recorded by staff for personal use such as note-taking and personal improvement. These recordings will never be distributed and will remain the property of Batschi Vocals.

⚠️ Assumption of Risk & Liability Waiver

  • By participating in Batschi Vocals lessons, you acknowledge and accept that music and acting activities may involve movement, physical interaction, and participation risks. While we take great care to provide a safe and supportive environment, Batschi Vocals, its instructors, and affiliates are not liable for any injury, illness, accident, or personal loss that may occur during or as a result of participation in our programs. You agree to take full responsibility for your own vocal health and well-being.

  • Parents or guardians enrolling a child do so with the understanding that they are voluntarily assuming all risks associated with participation and agree to release and hold harmless Batschi Vocals and its staff from any liability related to such risks.

Updates

  • These terms and conditions may be updated periodically. The most current version will always apply at the time of booking.
